Why WorkTrace?

Worktrace is a logistics management and control system. It is different for many reasons from other systems claiming the same capability. Not only does it cover postal parties but it also connects to 3rd party logistic providers and to private clients of the Post, both small and large. It covers international postal products , national postal products and private products to a specific Post. Worktrace now provides Postal Operators with an impressive, innovative on-line solution for business customers.

This unique solution allows Postal operators to provide mailers, sending small through to large volumes, with a range of value added information services, comparable to those of private postal operators but at more competitive prices.

The Post of Lithuania has been piloting the solution with small to medium business customers and has found excellent satisfaction from the user base.

Slovak Post has been piloting with large volume mailers and again customer satisfaction is excellent.

This is a Software as a Service (SaaS) solution so it requires only on-line access, no large license fees, no hardware investment and can be operated by any Postal service. It gives mailers the ability to:

Increasing client sophistication and increasing competition is driving the demand for greater flexibility in logistics. Fixed procedures and fixed schedules are no longer good enough to satisfy the client. Increasingly clients ask and get flexible service conditions. The following three scenarios will illustrate today's business reality.

Scenarios

Return Management
Management of returned items is a challenge for Internet based distribution. Quality of management of returns can mean the difference between profit and loss, hence the need for effective management. A state of the art system should give the possibility for a client to ask for agreement to return goods. Also the seller should be able to view this and to authorize or decline the return request. The logistics operator should generate return documents and addressing. All these steps should happen in a fast and convenient manner.

Customs clearance
International distribution is a major concern in e*Commerce. To a large degree it is due to quality and cost of customs clearance operations. Advanced operators clear goods without stopping the logistics flows across borders. For service quality, a logistics operator must be able to inform customs about goods en-route well before physical operations take place. Customs must be able to send a pinpointed request to physically analyze a chosen item. A logistics operator must be able to receive the request and act upon it quickly. A logistics operator must know when goods are returning from customs inspection. This interaction must be fast and reliable, so that the logistics flows do not suffer.

Transport dispatching
Pick up and uplift operations are major areas of cost in logistics, the last mile represents about 60-70% of total logistics cost. Hence the need to manage the process most effectively. The following is a typical dialogue that will take place when a client places a shipment order. A logistics operator must see a request for services immediately and must be able to send a request to a delivery agent. In turn, the delivery agent must be able to confirm acceptance of service and the logistics client must be informed of arrival of goods or services.

Track and Trace Capability

The value added Track and Trace of Worktrace really does add value. It gives the usual basic track and trace information of other systems, listing the events a mail item passed though. As well as actual events, the listing shows planned events, such as final delivery. Additionally, a hierarchical link is included so, if authorised, you can find detailed information about the receptacle and despatch and transport in which a parcel was included. In the case of client pre-advise, articles (individual goods within a parcel) can be listed for each parcel and the information about an article can also be included. By drilling down, detailed information describing the mail is accessible at the various levels (transport, despatch, receptacle, parcel, article). An example to show this is given in the diagram.

Quality Management
High quality of logistics is a result of hard, daily and detailed work on management of service quality. Several factors make this management a daunting task. There are so many products (national, international, priority, express..) each with it's own performance targets, geography etc. Each mail item goes through so many different steps (posting, sorting, transport, customs, delivery). Mail volumes are fluctuating, the time for operations is limited, client demands are ever higher. The only way to stay on top of this task is with a good quality control technology.

International

User friendly maps show mail quality performance. The colour of the icons on the map indicate performance. A green indicates performance in the top band, yellow in an intermediate band and red in the lowest band. You sent the levels for each of these bands.

Details for a destination

Now that you know the global quality performance for a destination, you need to see the details. Well with WorkTrace it is as simple as clicking on the point on the map and you can analyse the data with an overview of each day in the time period concerned. The left hand side shows volumes and the right hand side graph shows quality versus target with each line representing a day. Clicking on any line will give you the details of the mail for that day, allowing you to analyse quality issues from top-downwards.

Import/Export Information Interfaces Whether the interfacing is intra or inter organisational, to Postal operators, carriers, customs authorities or customers, WorkTrace offering is robust and performant. Interfaces can be supplied to:

postal in-house systems via flat-file, EDIFACT messages, XML messages.
into the GXS network for exchange of standard postal messages via FTP, via the Internet.
to transporters
to customs authorities
to private operators such as FedEx, UPS, DHL as well as imports information from a variety of other sources
to clients.

Customisation for proprietary and non-standard data formats is offered.

Exchange information
At the Office of Exchange a number of electronic messages are exchanged with trading partners. The messages inform about dispatches on their way or dispatches received at destination. For instance dispatch tracking message (PRESDES) is exchanged with postal operators and pre-advise destination Exchange Offices about mail on the way to them. RESDES informs the originating Office of Exchange about arrival of mail receptacles at destination Exchange Offices. Item tracking messages can also be generated (EMSEVT) at the Exchange office. Other messages can be needed for links to large customers. At mail units, consignment level messages (PRECON, RESCON, CARDIT and RESDIT) are relevant. Operators such as FedEx and UPS also import and export information to their trading partners.
WorkTrace can generate these messages for you, all automatically and can also generate or import data from private operators such as FedEx. The information exchange is triggered by operational events all behind the scenes. On dispatch close the PREDES message is sent as a background process.
Arrival of mail receptacles is entered by operations staff into the WorkTrace system by scanning. WorkTrace processes this information, creating RESDES messages and sending them to authorized Posts.

All logistics operators mention data capture as a major difficulty. Hence this is a major area for logistics organisations to differentiate themsleves. If anything else this area is becoming more complex rather then more simple. Today the most common technologies are:

WorkTrace has a new mobile solution allowing capture of bar-code and signature, location, date and all with a standard smart phone (Android OS) equipped with a standard camera.
Other technologies for data capture include: Smart Cards, RFID, Mobile scanners, Wireless scanners, Internet.
Coming together with ever increasing range of information to be captured and an ever increasing range of devices to be used ie: telephones, PDA’s GPS and others the task is even more challenging today than in the past.
WorkTrace allows capture of logistics events data (item final delivery, item entered into receptacle, …etc). A range of mechanisms are possible: capture with only a web browser, or using wireless technology and a pda, with a scanner or via a keyboard or with a standard smart phone.
A standard set of logistics events can be supplemented by any number of customized events that are needed for your organization.
Automated Events WorkTrace is intelligent and saves you work. How? It can be configured to automatically generate events where logic permits this. This avoids additional data entry and assists smoother streamlined operations. For example: WorkTrace event data for an aggregate level (e.g. a mail receptacle) may be sufficient to create a required mail item event (item departure from outward office of exchange).
Data from other systems If another systems tracks logistics events through your own physical network, all of WorkTrace’s powerful toolset can still be used. This is done by data import of information from the existing system (see the description under the heading import/export information).

Even in this age of electronic links, physical mail is still accompanied by paper documents. WorkTrace generates an extensive set of standard postal documents for international mail (CN31,CN33,CN38, CP86, CP87, CN16..). Specialised documentation can also be provided with speed and low cost via report service plug-ins rather than programming.

The key element of modern logistics management systems is the principle of identifying logistics items and subsequently capturing the id together with other elements of logistics information such as time and location as the events unfold. Identifiers give a means of identifying an item uniquely. On an item such as a parcel or letter the identifier is normally represented as a bar-code. WorkTrace is open, accepting user-produced identifiers/bar-codes or it can create them for you. A good bar-code creation technology must among other things be easy to access and compatible with a large set of printing equipment.This is why WorkTrace uses Web enable bar-code generation and printing technologies. No installation required! WorkTrace bar-codes for international mail receptacles adhere to the accepted international standard (UPU standard S1 for physical encoding). WorkTrace is open as well where peripherals are concerned working with any printer equipped with Windows 98 or NT drivers.

A logistics manager is where the action is which means in many places at different times. A Postal Office of Exchange manager needs to know if a Registered bag was not received on time, without looking through information on all bags arriving. Clients of the Post or couriers need to be informed that an important parcel arrived without having to constantly look for it via Track & Trace. So how then to help the logistics manager and client not to drown in volumes of information? How to bring just the important information right to him/her ? The answer is the modern paradigm of "Alert" and wireless communication.

How it works

At the basis of the system is a set of definitions of events, targets, physical units and messages.

Alert definition

WorkTrace allows a sophisticated definition of what logistics events, under what circumstances will generate alert messages. As actual events take place, a background process watches them. Flexible Logistics

Many service or industrial operations work as follows. Items in production are handled by a process and then passed on to the next location and process. Each process operates to a schedule and to a performance target. There is a target for how long an item must stay in any place and also when it must go on to a new working place.

An example can be a logistics chain which has processes starting from ordering of pick-up of mail from the client, vehicle scheduling, mail item transportation, sorting, etc. through to delivery to the client. The item may be handled by a number of independent organisations through its life-cycle: in international mail movements 8 or more organisations can be involved. Worktrace captures information about the item movement through the logistics chain of these organisations and utilises the information for: pre-advise and pre-planning functions for downstream locations, confirmation of receipt to upstream locations, quality control of each segment of the logistics chain, information routing to all interested parties, integration with back-office systems and alerting operators to potential service failures.

Worktrace is therefore a generic technology. Its application to the Postal Market makes it an extremely comprehensive international mail system and EDI Gateway to the international value added network, GXS. It includes the production of item identification (standard Bar-code labels), international Postal messages for (PREDESv2, RESDES, PRECON, RESCON, CARDIT, RESDIT, EMSEVT). Worktrace is based on Internet-based technology: only a browser is needed on client workstations which removes headaches of client installation and maintenance. It is modular, flexible and state-of-the-art using Java, XML, XSL-T, Oracle.

Visibility comes to mailing

WorkTrace Mailers module enables postal customers to provide their Postal operator with pre-advise. Key information services that give delivery and payment transparency to Mailers and posts (origin and destination) are then made available through WorkTrace. This information business grew out of close energetic co-operation between Slovak Post, Ukrposhta and WorkTrace, where all parties exchanged ideas, assisted each other and contributed. These services are already used quite extensively in Ukrposhta , Slovak Post for payments services, client trouble-shooting and support in operations.

The solution is an example of how WorkTrace can support trading communities giving each party visibility in terms of physical item tracking and in terms of other crucial information such as payment flows. The integration is achieved taking data from mailers in whatever format they can provide it.

Woktrace is based on three layers

Data acquisition layer
Data acquisition layer is responsible for bringing information into WorkTrace. It is made up of two agents. Message Import agent and Web agent.
Message import agent
This responsible for bringing logistics data coming from legacy systems, from IT enabled Logistics partners etc. into WorkTrace. The agent acts according to business rules, specifying such parameters as What is the Party from which messages will be coming, which way the messages will be provided (FTP, E*Mail), what messages will be coming via the business rule (PREDES, Cash On Delivery, Manifest Pre advise etc.). Once the message is stored in WorkTrace database, the Message Import agent will map it to WorkTrace information repository and Supply Chain Event management again using business rules from the Business Rules repository.
Web import agent
This responsible for bringing into WorkTrace logistics data coming from logistics operators or specialized data capture equipment (scanners, electronic weighing machines etc.).
The user interface will be presented according to an interface template from Business Rules repository. The template supports all HTML tags, it does validation of input is terms of required values, optional values , numeric data requirement , cross reference to a data base etc.
Once the information is captured the Web Import agent will map it to WorkTrace information repository and Supply Chain Event management again using business rules from Business Rules repository.

Supply Chain Event Management

Logistics are driven by logistics events. “Client makes a shipment of a parcel”, “Consignment is closed” , “Transport arrived”, “Parcel is handed over to receiver” are all examples of logistics events. Once Message Import or Web Import accepts the Messages or Forms, it abstracts logistics events and passes the events to the Supply Chain event management Agent. This Agent will ask Business rules what to do with the event and according to relevant rules, it will process it.

Business Rules
Users can control WorkTrace system actions via its business rules. Business rules for example describe how data in the repository is rendered on a label. How data in repository is mapped to Custom declaration List. How a Consignment Pre advise message is routed within the receiver administration.
How a delivery to Final delivery office event triggers eMails and you can enter the text eMails contain.
These rules are expressed mainly in Industry Standard languages, such as JavaScripts, XSL style sheets, SQL statements, FreemarkerTemplates. Therefore learning ways to manage WorkTrace is fairly easy.
Other rules are simply Administrator menu driven, where administrator chooses options to activate , via Web Menu.
Rules are stored in a database in records linked to WorkTrace objects.
The database storage mechanism allows for dynamic system change, without disruption of operations and without danger of system corruption.

Message export agent, is responsible for exporting WorkTrace logistics data to legacy systems, to Logistics partners. According to business rules , specifying such parameters as What is the Party to who messages will be going, which way the messages will be provided (FTP, E*Mail), what messages will be exported (PREDES, Cash On Delivery, Manifest Pre advise etc.). export Agent will abstract the message from information repository and deliver it to destination.

iPresentation agent, is responsible for rendering information from WorkTrace repository in user readable form, which are labels to be affixed to parcels or receptacles, Customs List in PDF format etc.

WorkTrace Information Repository
Information on Logistics objects such as Events, Items, Consignments Transport, Trace & Track object etc. is stored in a data base. Administrator works with this data via its business view such as Business object, rather than technical representation via as database table or record.

Modular scalable Architecture

The schema shows the layered architecture used in WorkTrace solutions. WorkTrace uses robust modular technologies, Servlets, JSP, J2EE, FTP, XML-XSLT and Oracle Relational database. WorkTrace is a distributed system. Each building block can run on a separate machine. Actually each building block of each application can run on a separate machine. FTP can send different messages to different machine to translate. The Messaging system can send different messages to a different machine for loading etc. This gives tremendous flexibility and scalability in capacity.
Web Server: It is Jboss and it can run on a machine separate from Applications or database
Messages: Message Import or export agent is comprised of facilities such as FTP, Format Translators, ETC. These processes run independently from each other and converge on database via TCP/IP, which allows processes to be balanced over many physical servers.
Applications: Applications such as supply chain event management, mapping of messages to business repository are independent programs taking their business rules from database and writing results to database. The link to database is via TCP/IP. Further applications run on queue. All this allows us to split the over all workload over unlimited amount of queues and place applications on any number of servers.
Database : Oracle clustering and balance loading capability is well documented.

The schema above shows how WorkTrace bridges the mail tracking systems of user Postal operators and Postal adminstrations via the Internet and the value-added network of GXS.

WorkTrace is a business rules driven technology. WorkTrace implemented generic logistics objects such as Events, Items, Shipments etc. which are bound by business rules to model its clients’ logistics operations. It is comprehensive and at the same time very modular. It can provide a client with complete Logistics management system or combine WorkTrace functionality with clients existing building blocks. It exposes its functions and integrates with legacy systems via Web Services, HTTP, or messaging EDI, XML, Flat Files, PDF. Messaging is supported by WorkTrace smart router. The bottom line is a powerful logistics management technology requiring no or little programming to implement customized logistics management systems.

Worktrace is based on Internet-based technology: only a browser is needed on client workstations which removes headaches of client installation and maintenance. It is modular, flexible and state-of-the-art using Java, XML, XSL-T, Oracle. Also it is very much J2EE compliant. It is built on three tier model. A very light front end, (limited usage of JavaScript to give better interactivity and integrate particular peripherals if needed). Business logic is on a server, written in Java and operating a Web Server. Business logic is cluster enabled. Data base is on a server. The Business logic and database talk via J2EE compliant connectors which signify that business logic can be separated from database physically. From the hardware point of view it requires a single server (unless for performance purpose the user wants to use multiple servers). On the client level, WorkTrace requires only a Browser. No installation is required. Our web-based solutions and multitiered architecture are thus partitioned into distinct functional units (Client, Presenation, Business-logic, Integration) in order to ensure clean division of responsibilities and to make the system more maintainable and extensible.

International Mail Module Functionality Overview

Track and Trace WorkTrace can provide customers of a Post with information about location of registered item in each point of processing, receiving and handing out/delivery. The customer might be private person, legal entity, foreign postal administration or foreign collaboration partner. WorkTrace supports any bar-codes. It supports all UPU, EMS, EPG, Parcels Prime events so that it is capable to trace the way of postal item from receiving at the post office up to handing out to the addressee. Further more WorkTrace offers a generic event capture capability that can be parameterized for events others than UPU standardised ones. Worktrace track and trace links items hierarchically. This means that postal staff can trace a mail item such as a parcel and with one click trace the receptacle, transport or despatch it was included in.

Access points WorkTrace is a pure Web system, which means that access to it is possible and practiced from all of the locations below: In postal sorting centres and post offices. Offices of exchange and in the Sorting centre. Workshops of exchange of postal carriage. Customer premises. Large customers can be further provided with a ’Virtual Logistics view’, which is in fact a replica of the WorkTrace limited to customer information only.

Product scope

Installation As the system is Web based access to it is immediate from any point equipped with Internet access and a PC with a standard browser. Therefore the only requirements on working places, is an Internet, or Intranet access and a standard browser.

Planned Volumes of Items WorkTrace is based on scalable solid technologies such as Linux enterprise, Oracle 9, jboss. The architecture of the WorkTrace proprietary software is cluster enabled. As a result WorkTrace can handle any volumes of mail. It can handle the volumes of small Posts to very large operators. WorkTrace is a distributed system. Technical modules make the building blocks of the system and each building block can run on a separate machine. Actually each building block of each application can run on a separate machine. FTP can send different messages to different machines to translate. The Translator can send different messages to a different machine for loading etc. This means that the system can grow flexibly according to the needs of a Post and is scalable and modular.

Tracking messages WorkTrace supports all UPU, EMS, EPG, Prime events so that it is capable to trace the movements of postal items from receipt at the post office up to delivery to the addressee. International Postal messages for international mail are produced by WorkTrace (PREDESv1 and v2, RESDES, PRECON, RESCON, CARDIT, RESDIT, EMSEVT, EXCEPT). WorkTrace automatically communicates these messages to the postal and transporter partners on the appropriate network (GXS or other). WorkTrace provides automatic switching to other WorkTrace user Postal Services (currently 5) thereby reducing the costs of network costs. Additionally, WorkTrace can generate some item tracking messages intelligently thereby reducing data entry: e.g. By utilising information in receptacle level messages which include mail items. Further more WorkTrace offers a generic event capture capability that can be parameterized for events others than the standardised UPU ones. WorkTrace also support private not standard messages such a clients private pre advise. Information is included in global track & trace.

Usage locations WorkTrace is a pure Web system, which means that access to it can be used from all of the locations below: Office of Exchange Sorting offices Receiving from the customer Delivery to the customer National or regional centres.

It allows you to capture and use data both on entry into facilities and on exit. Due to its open architecture, there is no limit on the different event types it can parameterize.

Multilinguality WorkTrace is a multilingual system. It can be presented in any local language.

Track and Trace It can be used for tracing for the following phases: Item Transport Palette Roller container Receptacel/bag Individual dispatch

Item correlation It ensures correlation between several dispatch levels, such as transport and despatch, despatch and receptacles, receptacles and items. Just a click and an item is linked to the details of its despatch. Conversely a despatch is linked to all the receptacles contained within it. If client pre-advises are provided containing articles descriptions, these are linked to mail items too.

Item identification WorkTrace uses the bar code as identification number of the item and supports non-standard ID for different phases (car, palette etc.)

Customer and the Web WorkTrace provides a Web Interface for large customers. WorkTrace functions for mail management can be expanded with ease. Key account customers can be provided with electronic links to the Post through WorkTrace. Added-value Internet services for these large customers can be mail request for mail pick-up, pre-advise, bulk tracking of customer consignments, sms or e-mail alerts on mail delivery, tailored quality reports etc. It is The Clients module which is being piloted in Slovenia and Slovakia.

Exception handling It offers a powerful alert mechanism to inform about cases of disparity via e*Mail, SMS or hot spots mechanism. A range of exception reports are provided. Examples are reports highlighting mail that was not pre-advised. A further report shows mail that has not been confirmed as received at destination. Registered rates management Control of an items weight and tariff for registered mail can be integrated into the system.

Weight Checking Electronic scales can be easily integrated with WorkTrace system and the weight of inbound receptacles or items recorded. Facilities are provided to note discrepancies in weight and other discrepancies that can occur.

Receptacle preparation WorkTrace is a complete international mail system. It fully supports the preparation of receptacles and dispatches. This is described in the Annexe. WorkTrace is open to capture via GPRS Web enabled scanners picture to the item (picture of signature, stamp of the company, day stamp, etc.)

Monitoring next steps The system is able to give information about items, which have not reached the next track and trace in time. This information can be notified by a number of means: via e*Mail, SMS or an on-line alert monitoring report (hot-spots report).

Data availability This is flexible. It is possible to make the data available for a 3 year period. WorkTrace’s modular and scalable architecture is ideal for coping with a large database.

Customising for special item types WorkTrace is designed to be highly flexible. New mail products can be defined by user with administration rights. Mail items can also be tagged as special by creating new handling-type categories.

The value added Track and Trace of Worktrace really does add value. It needs only a bowser and is designed to integrate with existing in-house mail management systems. It gives the usual basic track and trace of other systems, listing the events a mail item passed though. As well as actual events, the listing shows planned events, such as final delivery.

Additionally, a hierarchical link is included so, if authorised, you can find detailed information about the receptacle and despatch and transport in which a parcel was included.

In the case of client pre-advise, articles (individual goods within a parcel) can be listed for each parcel and information about an article can also be included. By drilling down, detailed information describing the mail is accessible at the various levels (transport, despatch, receptacle, parcel, article). An example to show this is given in the diagram.

The look and feel is completely customisable so the appearance can be adapted to match exactly with an existing corporate web site.

Slovak Post have been utilising WorkTrace as their International Mail system since 2004 when WorkTrace was selected via an international tender. The system is installed locally in Bratislava Office of Exchange and is integrated with local IT and legacy tracking systems of the Slovak Post. A part of the finance for the system came from the UPU Quality of Service fund. The WorkTrace system use in Slovak Post also includes REIMS international accountancy and has since expanded to encompass claims handling/reclamations which Slovak Post pioneered. A particularly innovative WorkTrace service has developed in partnership with Slovak Post for management of customer consignments. This allows large mailers to send pre-advise to the Slovak Post and to achieve visibilty on the handling of their mail at destination in terms of tracking the mail items and their related COD payments. Worktrace has been used in Maltapost since 2001. A hosted solution allows mail in and out of MaltaPost to be tracked internationally through a web browser. WorkTrace xml-integration interface seamlessly integrates local tracking systems in Malta.

Pierre Montebello is the Information Technology manager for Maltapost plc. Customer Module

The module offers personalised address modules, batch tracking system which seamlessly integrates tracking from other Postal operators. There are alert mechanisms for non-confirmed shipment delivery etc. either by e-mail, by SMS or in an exception report called HotSpots. See the description of the value added track and trace that we also give in this module. The shipment menus have intelligence built-in: they are configured to show only the Postal products available for the selected destination country. Similarly the customs declaration is visible for completion only if it s required for the chosen destination.

Module for Large Postal Customers This WorkTrace module allows large customers of the Post to prepare mail shipments and print CP72 and other required posting documentation. The system can generate bar-codes or it can utilise pre-printed ones. Very large customers of the Post can be given access to their own WorkTrace system, customised to the look and feel of their organisation with their own logo. Smaller companies would register as clients of the local Postal operator.

The forms can be completed in sections: you can fill in the addresses and complete the Postal product information later. You are shown the parts you must complete in the appropriate linked order. As with all WorkTrace forms, these are multi-lingual and customisable for local needs.
Value added services for Mailers WorkTrace can be used to establish trading communities, linking large mailers to Postal operators. This works by the WorkTrace system picking up consignment data-files from the mailer, the data is automatically loaded into WorkTrace and routed appropriately to the Postal operators involved. The mailer gains visibility on the movement of mail-items and also related payments at destination for the goods. WorkTrace REIMS Module allows the operation of continuous REIMS sampling. It allows the generation of proper receptacle labels as well as the monthly and quarterly accountancy documents in support of sampling. The module is easy to use and based on six sub modules. Thanks to its viewing facilities it allows to view, analyze and update the samples according to a rich set of selection criteria. WorkTrace Fully Automated International Accountancy Module allows fully automated generation of the monthly and quarterly accountancy documents in support of letter mail and parcels flows. Activating these functions, does not require new operations, in fact they are resulting from the operations of receptacle acceptance and dispatch preparation These facilities leverage data which are captured at scanning of inbound and outbound mail receptacles. WorkTrace Claims Management module streamlines customer support and integrates seamlessly with operational tracking systems. It can be customised for any specific customer support needs. For Postal operators it allows the management of both international reclamations and national ones. In the case of international reclamations, our base system provides data capture of all standard data. However our web-forms can be customized for local needs and of course, are completely multi-lingual. The Slovak Post has been using the module operationally for some time already as has Lithuanian Post.

WorkTrace Reclamations module covers the requirements stipulated by the UPU in information collection and forms production (e.g. CN08) but also allows you to customize the system to collect additional information. The module is seamlessly integrated with WorkTrace Track and Trace which makes the reclamations process more streamlined. It can be set-up to send reclamations electronically with any Postal administration that is capable of handling them in this manner.

A reclamation is a transaction involving much form-filling. This onerous task is made lighter with a set of on-line electronic forms which can be completed individually. The system highlights for you which forms are yet to be completed. With WorkTrace the form filling can be shared by staff in multiple locations. A form can be filled a bit at a time, all data is saved, again helping ease of use. Look-ups and drop-down lists are provided to make data entry easier. Paper documents connected to the reclamation can be scanned and attached to the relevant reclamation electronically. It is a true electronic dossier of the claim, drawing all relevant sources together in a convenient accessible manner.

The system can be configured to alert you if a target date for a claim closure is approaching. Reports can show the status of claims, their creator and their urgency. It is designed to meet requirements of the relevant European Standard EN 14012 : 2003 - Services postaux - Qualité de service - Mesure des réclamations et procédures de réparation acts as an impetus for Postal administrations to implement a claims management system.. Each state adopts the standard so e.g in Lithuania it becomes LT EN 14012: 2003 and in the UK is it is BS EN 14012:2003. This was created by the Technical committee of the European committee on standards CEN/TC 331 Postal services, WG1 on Quality of service.

The WorkTrace EDI Gateway

A flexible, scalable Gateway solution that is based on open modular and standard technologies, WorkTrace gracefully integrates with legacy systems. You can start by rapidly adding only international EDIFACT links to your current infrastructure. All you have to do is to exchange simple flat-files or XML with WorkTrace. WorkTrace will do the rest. It will translate flat files or XML into EDIFACT, link to the International Value added network and store messages exchanged in a database. WorkTrace EDI Gateway integrates cross systems within organizations or between them via message brokering. Postal Overview

WorkTrace is a complete information system for both international and domestic mail management. It covers requirements for postal products (EPG, Prime, EMS, Parcels and letters) and communications with Postal administrations. However it is also a gateway to link with other operators such as Fedex, DHL, UPS etc. a necessity in the changing postal world. It covers international mail but can be extended to cover local needs for domestic mail consignments.

Flexible data capture

It is designed for flexibility. The WorkTrace screens for event capture are customisable so you can collect additional data beyond standard events. You can adapt screens to suit your needs and it is of course completely multi-lingual. In reality Worktrace is a generic SCEM (supply chain event management) technology. You can add domestic tracking events and specific data capture functions for your own local needs.

Easy Integration

Another key aspect of WorkTrace design is based on integration with other systems or organisations. It is easy to export data received into the system in a wide range of formats. Current choices include EDI, XML, excel, flat-file, DBF. WorkTrace integration capability make integration with your own internal systems a matter of configuration rather than development.The module for international mail is fully integrated with WorkTrace modules for REIMS/International accounting and for claims management.

Claims Handling

WorkTrace has many other functions as well as mail management and EDI gateway. There is a claims management modules, one for linking to large or small postal customers and an accounting module. These can be added on seamlessly to the international mail module whenever required.

Operational flexibility

The system can be operated in a variety of ways. It can be hosted by WorkTrace so hardware investment can be zero or it can be installed and run on a local server.
