International distribution is a major concern in e*Commerce. To a large degree it is due to quality and cost of customs clearance operations. Advanced operators clear goods without stopping the logistics flows across borders. At the Office of Exchange a number of electronic messages are exchanged with  trading partners. The messages inform about dispatches on their way or dispatches received at destination.  For instance dispatch tracking message (PRESDES) is exchanged with postal operators and pre-advise destination Exchange Offices about mail on the way to them. RESDES informs the originating Office of Exchange about arrival of mail receptacles at destination Exchange Offices. Item tracking messages can also be generated (EMSEVT) at the Exchange office. Other messages can be needed for links to large customers. At mail units, consignment level messages (PRECON, RESCON, CARDIT and  RESDIT) are relevant. Operators such as FedEx and UPS also import and export information to their trading partners.&lt;br /&gt;
WorkTrace can generate these messages for you, all automatically and can also generate or import data from private operators such as FedEx. The information exchange is triggered by operational events all behind the scenes. On dispatch close the PREDES message is sent as a background process.  &lt;br /&gt;

Many service or industrial operations work as follows. Items in production are handled by a process and then passed on to the next location and process. Each process operates to a schedule and to a performance target. There is a target for how long an item must stay in any place and also when it must go on to a new working place. &lt;/p&gt;&lt;p&gt;An example can be a logistics chain which has processes starting from ordering of pick-up of mail from the client, vehicle scheduling, mail item transportation, sorting, etc. through to delivery to the client. The item may be handled by a number of independent organisations through its life-cycle: in international mail movements 8 or more organisations can be involved. Worktrace captures information about the item movement through the logistics chain of these organisations and utilises the information for: pre-advise and pre-planning functions for downstream locations, confirmation of receipt to upstream locations, quality control of each segment of the logistics chain, information routing to all interested parties, integration with back-office systems and alerting operators to potential service failures. &lt;/p&gt;&lt;p&gt;Worktrace is therefore a generic technology. Its application to the Postal Market makes it an extremely comprehensive international mail system and EDI Gateway to the international value added network, GXS. It includes the production of item identification (standard Bar-code labels), international Postal messages for (PREDESv2, RESDES, PRECON, RESCON, CARDIT, RESDIT, EMSEVT). Worktrace is based on Internet-based technology: only a browser is needed on client workstations which removes headaches of client installation and maintenance. WorkTrace Mailers module enables postal customers to provide their Postal operator with pre-advise. Key information services that give delivery and payment transparency to Mailers and posts (origin and destination) are then made available through WorkTrace. This information business grew out of close energetic co-operation between Slovak Post, Ukrposhta and WorkTrace, where all parties exchanged ideas, assisted each other and contributed. These services are already used quite extensively in Ukrposhta , Slovak Post for payments services, client trouble-shooting and support in operations. &lt;p&gt;&lt;/p&gt;&lt;p&gt;The solution is an example of how WorkTrace can support trading communities giving each party visibility in terms of physical item tracking and in terms of other crucial information such as payment flows. Data acquisition layer is responsible for bringing information into WorkTrace. It is made up of two agents. Message Import agent and Web agent. &lt;br /&gt;
Message import agent&lt;br /&gt;
This responsible for bringing logistics data coming from legacy systems, from IT enabled Logistics partners etc. into WorkTrace. The agent acts according to business rules, specifying such parameters as What is the Party from which messages will be coming, which way the messages will be provided (FTP, E*Mail), what messages will be coming via the business rule (PREDES, Cash On Delivery, Manifest Pre advise etc.). Once the message is stored in WorkTrace database, the Message Import agent will map it to WorkTrace information repository and Supply Chain Event management again using business rules from the Business Rules repository.&lt;br /&gt;
Web import agent&lt;br /&gt;
This responsible for bringing into WorkTrace logistics data coming from logistics operators or specialized data capture equipment (scanners, electronic weighing machines etc.). &lt;br /&gt;
The user interface will be presented according to an interface template from Business Rules repository. The template supports all HTML tags, it does validation of input is terms of required values, optional values , numeric data requirement , cross reference to a data base etc.&lt;br /&gt;
Once the information is captured the Web Import agent will map it to WorkTrace information repository and Supply Chain Event management again using business rules from Business Rules repository.&lt;br /&gt;

&lt;b&gt;Supply Chain Event Management&lt;/b&gt;&lt;br /&gt;
&lt;br /&gt;
Logistics are driven by logistics events. “Client makes a shipment of a parcel”, “Consignment is closed” , “Transport arrived”, “Parcel is handed over to receiver” are all examples of&amp;nbsp; logistics events. Once Message Import or Web Import accepts the Messages or Forms, it abstracts logistics events and passes the events to the Supply Chain event management Agent. This Agent will ask Business rules what to do with the event and according to relevant rules, it will process it.&lt;br /&gt;
&lt;br /&gt;
&lt;b&gt; Business Rules&lt;/b&gt;&lt;br /&gt;
Users can control WorkTrace system actions via its business rules. Business rules for example  describe how data in the repository is rendered on a label. How data in repository is mapped to Custom declaration List. How a Consignment Pre advise message is routed within the receiver administration.&lt;br /&gt;

The schema shows the layered architecture used in WorkTrace solutions. WorkTrace uses robust modular technologies, Servlets, JSP, J2EE, FTP, XML-XSLT and Oracle Relational database. FTP can send different messages to different machine to translate. The link to database is via TCP/IP. Further applications run on queue. WorkTrace is a business rules driven technology. WorkTrace implemented generic logistics objects such as Events, Items, Shipments etc. which are bound by business rules to model its clients’ logistics operations. It is comprehensive and at the same time very modular. It can provide a client with complete Logistics management system or combine WorkTrace functionality with clients existing building blocks. It exposes its functions and integrates with legacy systems via Web Services, HTTP, or messaging EDI, XML, Flat Files, PDF. Messaging is supported by WorkTrace smart router. The bottom line is a powerful logistics management technology requiring no or little programming to implement customized logistics management systems. &lt;p&gt;&lt;/p&gt;&lt;p&gt;Worktrace is based on Internet-based technology: only a browser is needed on client workstations which removes headaches of client installation and maintenance. It is modular, flexible and state-of-the-art using Java, XML, XSL-T, Oracle. Also it is very much J2EE compliant. It is built on three tier model. A very light front end, (limited usage of JavaScript to give better interactivity and integrate particular peripherals if needed). Business logic is on a server, written in Java and operating a Web Server. Business logic is cluster enabled. Data base is on a server. The Business logic and database talk via J2EE compliant connectors which signify that business logic can be separated from database physically.
From the hardware point of view it requires a single server (unless for performance purpose the user wants to use multiple servers). On the client level, WorkTrace requires only a Browser. No installation is required.

Worktrace track and trace links items hierarchically. This means that postal staff can trace a mail item such as a parcel and with one click trace the receptacle, transport or despatch it was included in.

As the system is Web based access to it is immediate from any point equipped with Internet access and a PC with a standard browser. Therefore the only requirements on working places, is an Internet, or Intranet access and a standard browser.&lt;/p&gt;&lt;p&gt;

WorkTrace is based on scalable solid technologies such as Linux enterprise, Oracle 9, jboss. The architecture of the WorkTrace proprietary software is cluster enabled.
As a result WorkTrace can handle any volumes of mail.
It can handle the volumes of small Posts to very large operators.

Tracking messages
WorkTrace supports all UPU, EMS, EPG, Prime events so that it is capable to trace the movements of postal items from receipt at the post office up to delivery to the addressee. International Postal messages for international mail are produced by WorkTrace (PREDESv1 and v2, RESDES, PRECON, RESCON, CARDIT, RESDIT, EMSEVT, EXCEPT). WorkTrace automatically communicates these messages to the postal and transporter partners on the appropriate network (GXS or other). WorkTrace provides automatic switching to other WorkTrace user Postal Services (currently 5) thereby reducing the costs of network costs.
Additionally, WorkTrace can generate some item tracking messages intelligently thereby reducing data entry: e.g. By utilising information in receptacle level messages which include mail items.
Further more WorkTrace offers a generic event capture capability that can be parameterized for events others than the standardised UPU ones.
WorkTrace also support private not standard messages such a clients private pre advise. Information is included in global track &amp;amp; trace.&lt;/p&gt;&lt;p&gt;

It ensures correlation between several dispatch levels, such as transport and despatch, despatch and receptacles, receptacles and items. Just a click and an item is linked to the details of its despatch. Conversely a despatch is linked to all the receptacles contained within it. If client pre-advises are provided containing articles descriptions, these are linked to mail items too.
&lt;/p&gt;&lt;p&gt;Item identification
WorkTrace uses the bar code as identification number of the item and supports non-standard ID for different phases (car, palette etc.)
&lt;/p&gt;&lt;p&gt;Customer and the Web
WorkTrace provides a Web Interface for large customers. WorkTrace functions for mail management can be expanded with ease. Key account customers can be provided with electronic links to the Post through WorkTrace. Added-value Internet services for these large customers can be mail request for mail pick-up, pre-advise, bulk tracking of customer consignments, sms or e-mail alerts on mail delivery, tailored quality reports etc. It is The Clients module which is being piloted in Slovenia and Slovakia.
&lt;/p&gt;&lt;p&gt;Exception handling
It offers a powerful alert mechanism to inform about cases of disparity via e*Mail, SMS or hot spots mechanism.
A range of exception reports are provided. Examples are reports highlighting mail that was not pre-advised. A further report shows mail that has not been confirmed as received at destination.
Registered rates management
Control of an items weight and tariff for registered mail can be integrated into the system.
&lt;/p&gt;&lt;p&gt;Weight Checking
Electronic scales can be easily integrated with WorkTrace system and the weight of inbound receptacles or items recorded. Facilities are provided to note discrepancies in weight and other discrepancies that can occur.
&lt;/p&gt;&lt;p&gt;Receptacle preparation
WorkTrace is a complete international mail system. It fully supports the preparation of receptacles and dispatches. This is described in the Annexe.
WorkTrace is open to capture via GPRS Web enabled scanners picture to the item (picture of signature, stamp of the company, day stamp, etc.)
&lt;/p&gt;&lt;p&gt;Monitoring next steps
The system is able to give information about items, which have not reached the next track and trace in time. This information can be notified by a number of means: via e*Mail, SMS or an on-line alert monitoring report (hot-spots report).
&lt;/p&gt;&lt;p&gt;Data availability
This is flexible. It is possible to make the data available for a 3 year period. WorkTrace’s modular and scalable architecture is ideal for coping with a large database.

WorkTrace is designed to be highly flexible. New mail products can be defined by user with administration rights. Mail items can also be tagged as special by creating new handling-type categories.

&lt;tr&gt;&lt;td&gt;The value added Track and Trace of Worktrace really does add value. It needs only a bowser and is designed to integrate with existing in-house mail management systems. It gives the usual basic track and trace of other systems, listing the events a mail item passed though. As well as actual events, the listing shows planned events, such as final delivery. &lt;/td&gt;&lt;/tr&gt;
&lt;tr&gt;&lt;td&gt;Additionally, a hierarchical link is included so, if authorised, you can find detailed information about the receptacle and despatch and transport in which a parcel was included.&lt;br /&gt;
&lt;br /&gt;
In the case of client pre-advise, articles (individual goods within a parcel) can be listed for each parcel and information about an article can also be included. By drilling down, detailed information describing the mail is accessible at the various levels (transport, despatch, receptacle, parcel, article). The system is installed locally in Bratislava Office of Exchange and is integrated with local IT and legacy tracking systems of the Slovak Post. A part of the finance for the system came from the UPU Quality of Service fund.

The WorkTrace system use in Slovak Post also includes REIMS international accountancy and has since expanded to encompass claims handling/reclamations which Slovak Post pioneered. A particularly innovative WorkTrace service has developed in partnership with Slovak Post for management of customer consignments. This allows large mailers to send pre-advise to the Slovak Post and to achieve visibilty on the handling of their mail at destination in terms of tracking the mail items and their related COD payments.

Via WorkTrace Slovak Post issue and recieve tracking messages for an array of mail products: EPG, Parcels, EMS and PRIME as well as despatch level tracking (PREDES, RESDES).

Integration with legacy systems
WorkTrace gracefully integrates with legacy systems. You can start by rapidly adding only international EDIFACT links to your current infrastructure. All you have to do is to exchange with WorkTrace simple flat-files. WorkTrace will do the rest. It will translate flat files into EDIFACT, link to the International Value added network, store messages exchanged in a database. Of course at any moment incrementally you can add rich WorkTrace functionality such as volumes planning and analyses, quality control etc.

This WorkTrace module allows large customers of the Post to prepare mail shipments and print CP72 and other required posting documentation. The system can generate bar-codes or it can utilise pre-printed ones. Very large customers of the Post can be given access to their own WorkTrace system, customised to the look and feel of their organisation with their own logo. Smaller companies would register as clients of the local Postal operator.

See the description of the &lt;a href="http://blog.worktrace.com/2009/03/track-and-trace.html"&gt;value added track and trace &lt;/a&gt; that we also give in this module. The shipment menus have intelligence built-in: they are configured to show only the Postal products available for the selected destination country. Similarly the customs declaration is visible for completion only if it s required for the chosen destination.&lt;/tr&gt;&lt;tr&gt;&lt;td&gt; The forms can be completed in sections: you can fill in the addresses and complete the Postal product information later. &lt;h3&gt;Value added services for Mailers&lt;/h3&gt;
WorkTrace can be used to establish trading communities, linking large mailers to Postal operators. This works by the WorkTrace system picking up consignment data-files from the mailer, the data is automatically loaded into WorkTrace and routed appropriately to the Postal operators involved. The mailer gains visibility on the movement of mail-items and also related payments at destination for the goods. Only a web browser is needed for authorised users to view the information in user-friendly reports.

It can be customised for any specific customer support needs.

For Postal operators it allows the management of both international reclamations and national ones. In the case of international reclamations, our base system provides data capture of all standard data. However our web-forms can be customized for local needs and of course, are completely multi-lingual. The Slovak Post has been using the module operationally for some time already as has Lithuanian Post.
&lt;p&gt;


WorkTrace Reclamations module covers the requirements stipulated by the UPU in information collection and forms production (e.g. CN08) but also allows you to customize the system to collect additional information. Since local regulators often require that other information is collected, the module can be customized by your own staff to produce on-line input forms that will satisfy both UPU and local needs. The module is seamlessly integrated with WorkTrace Track and Trace which makes the reclamations process more streamlined. It can be set-up to send reclamations electronically with any Postal administration that is capable of handling them in this manner.
&lt;/p&gt;

A reclamation is a transaction involving much form-filling. This onerous task is made lighter with a set of on-line electronic forms which can be completed individually. The system highlights for you which forms are yet to be completed. With WorkTrace the form filling can be shared by staff in multiple locations. A form can be filled a bit at a time, all data is saved, again helping ease of use. Look-ups and drop-down lists are provided to make data entry easier. Paper documents connected to the reclamation can be scanned and attached to the relevant reclamation electronically. It is a true electronic dossier of the claim, drawing all relevant sources together in a convenient accessible manner.

&lt;p&gt;
The system can be configured to alert you if a target date for a claim closure is approaching. Reports can show the status of claims, their creator and their urgency.


It is designed to meet requirements of the relevant European Standard EN 14012 : 2003 - Services postaux - Qualité de service - Mesure des réclamations et procédures de réparation acts as an impetus for Postal administrations to implement a claims management system.. Each state adopts the standard so e.g  in Lithuania it becomes LT EN 14012: 2003 and in the UK is it  is BS EN 14012:2003. This  was created by the Technical committee of the European committee on standards CEN/TC 331 Postal services, WG1 on Quality of service.

WorkTrace is a complete information system for both international and domestic mail management.  It covers requirements for postal products (EPG, Prime, EMS, Parcels and letters) and communications with Postal administrations. However it is also a gateway to link with other operators such as Fedex, DHL, UPS etc. a necessity in the changing postal world. It covers international mail but can be extended to cover local needs for domestic mail consignments.

&lt;h3&gt;Flexible data capture&lt;/h3&gt;
It is designed for flexibility. The WorkTrace screens for event capture are customisable so you can collect additional data beyond standard events. You can adapt screens to suit your needs and it is of course completely multi-lingual. In reality Worktrace is a generic SCEM (supply chain event management) technology. You can add domestic tracking events and specific data capture functions for your own local needs.

&lt;h3&gt;Easy Integration&lt;/h3&gt;
Another key aspect of WorkTrace design is based on integration with other systems or organisations. It is easy to export data received into the system in a wide range of formats. Current choices include EDI, XML, excel, flat-file, DBF. WorkTrace integration capability make integration with your own internal systems a matter of configuration rather than development.The module for international mail is fully integrated with WorkTrace modules for REIMS/International accounting and for claims management.

&lt;h3&gt;Claims Handling&lt;/h3&gt;
WorkTrace has many other functions as well as mail management and EDI gateway. There is a claims management modules, one for linking to large or small postal customers and an accounting module. These can be added on seamlessly to the international mail module whenever required.

&lt;h3&gt;Operational flexibility&lt;/h3&gt;
The system can be operated in a variety of ways. It can be hosted by WorkTrace so hardware investment can be zero or it can be installed and run on a local server. You can be operational with WorkTrace in extremely short time-scales with low initial investment. A support service is offered to ensure smooth operation and high availability of the system.
